This policy explains how HEATEC HEATING AND PLUMBING LIMITED(“we”, “Heatecph”) handles personal data for the online workspace at heatecph.shop. We are the data controller. Contact support@heatecph.shop.

What we collect

  • Workspace input: the room descriptions, notes and text you type to generate a record.
  • Account data: email and subscription status (at launch).
  • Billing data: handled by our payment provider. We receive plan and payment status, not full card numbers.
  • Technical data: basic logs needed to run and secure the service.

AI processing

To generate a draft, the text you enter may be sent to a third-party AI provider that processes it on our behalf. Do not enter sensitive personal data, payment card numbers, passwords or credentials into the workspace. Enter only what you need to describe a maintenance observation.

How we use data

  • To generate your draft records, question lists and checklists.
  • To provide, secure and improve the service.
  • To manage subscriptions and respond to support requests.

Legal bases under UK GDPR include performance of a contract, our legitimate interests in running the service, and consent where required.

Payments

Payments are processed by a third-party provider in USD. We do not store full card numbers. The provider handles card data under its own security standards.

Retention

We keep workspace and account data only as long as needed to provide the service or meet legal obligations, then delete or anonymise it. You can request deletion at any time.

Your rights

Under UK GDPR you may access, correct, delete, restrict or port your data, and object to certain processing. If you are in California, the CCPA gives you rights to know, delete and opt out of any “sale” of personal information — we do not sell personal information. International transfers

Where data is processed outside the UK/EEA, we use appropriate safeguards such as standard contractual clauses.
